Historically, when digital files have had to be shared a user would have to download a file and email it. While this is still an option in Pigeonhole and everyone is free to choose how they work, we believe that sharing files is a better way to collaborate. It’s faster and reduces data load on networks.
Sharing is straightforward in Pigeonhole, here’s how;
Option 1 - If you want to share all the files in a relevant Pigeonhole then go to the Pigeonhole you want to share and click the 'Share All' button at the top right of the screen. You will then be taken through the process to share files to an email address, stipulate the duration of the share, and the level of access required.
Option 2 - If you want to share multiple Pigeonholes or multiple files within a specific Pigeonhole, then the 'toggle' button can be used to access the multi-share functionality.
Before view below - you can simply share all the Pigeonholes or hit the toggle button.
After view below - Once you have toggled the button, you can select individual Pigeonholes, or multiple combinations.
In this instance below, once a user has toggled the button, they can select a combination of Pigeonholes to be shared. A user(s) will then be able to view all of the Pigeonholes shared, in this instance, that would be All of Level 53, All of the Building Management System files for the building, and Level 51 Electrical Service files. A total of 71 files will then be shared, which is a lot faster than downloading and emailing.
Step 3 - If the requirement is to share individual files within a Pigeonhole, then the user should navigate to the relevant Pigeonhole, toggle the share button, and select the files to share. Once they hit 'send', they will be asked to confirm sharing the files and then go through the usual process to add the recipient email address (or select if they are already registered), add the availability duration, and the level of access required.
The view once you are in a Pigeonhole -
Toggle the button and select a combination of files to share.
Confirm the files to be shared.
Hit ‘send’ and follow the normal process to add the recipient, how long they have access for, and the level of access they have.
